Question 1

What is an AI CRM?

Accepted Answer

An AI CRM is a customer relationship manager that acts on its own rather than only recording what you did. zentroCRM answers enquiries, drafts proposals and chases invoices without being asked, then files everything against the right lead — a traditional CRM would wait for you to do each of those and simply store the result.

Question 2

Can the AI reply to customers on its own?

Accepted Answer

Yes. It answers from a knowledge base you write, day or night, and captures the person’s name, contact details and what they want. Anyone on your team can take over a conversation at any point, which switches the bot off for that thread alone.

Question 3

Does zentroCRM work with WhatsApp Business?

Accepted Answer

Yes. You connect your own WhatsApp Business number through Meta’s own popup — no API keys and no developer. Messenger and Instagram connect the same way, and all three feed the same pipeline.

Question 4

Does it handle proposals and invoices too?

Accepted Answer

Yes, and that is the main thing separating it from a WhatsApp inbox tool. A lead can become an AI-drafted proposal, a signed agreement, and an invoice paid by card into your own Stripe account, without leaving the CRM or retyping anything.

Question 5

Will the AI send something to a client without me seeing it?

Accepted Answer

No. Proposals are drafted, not sent. Invoices are raised as drafts. The AI answers strangers unsupervised but never signs, sends or bills anything on its own — a person releases every document that reaches a client.

Question 6

How much does zentroCRM cost?

Accepted Answer

Every workspace starts with a 14-day free trial for up to 3 people, with no card required. After that, Starter is $10 a month, Growth is $25, Pro is $50 and Scale is $80, with 20% off if you pay annually. Every plan includes the full pipeline, all three messaging channels, proposals, e-signature, invoicing and booking; the plans differ on how many users and contacts you have and how many AI conversations are included. Website voice calling is a $50 add-on on any plan.

Question 7

What counts as an AI conversation?

Accepted Answer

One client thread in a billing month, however many messages it takes. Somebody who sends you nine messages in one exchange is a single conversation, not nine. Past your plan’s allowance, extra conversations are billed at 2 cents each — 1.5 cents on Pro.

Question 8

Do I need a developer to set it up?

Accepted Answer

No. A workspace is created by signing up, with pipelines and roles already in place. Integrations connect with one button each — the API keys live with the platform, so you never open a developer console or paste a secret.

Question 9

Is my data separate from other businesses using it?

Accepted Answer

Yes, and it is enforced by the database rather than by application code. Row-level security means a query for another business’s records returns nothing even if the software asks for it. An automated test signs in as two real businesses on every release and confirms neither can read, write or list the other’s data.

Question 10

What happens when the AI does not know the answer?

Accepted Answer

It says so and hands over rather than inventing something. You set a fallback message, and the conversation appears in your inbox for a person to pick up — with everything the client already said attached to the lead.

Question 11

Can I split a proposal into a deposit and a balance?

Accepted Answer

Yes. Split any proposal into up to six instalments by percentage — a deposit on acceptance, a payment at a milestone, the balance on delivery. Each stage becomes a draft invoice when its trigger fires, and the client sees the whole schedule priced before they sign.

Question 12

Can I use it on my phone?

Accepted Answer

Yes. The whole workspace works on a phone, including the WhatsApp inbox, so you can reply, send a proposal or check a payment from a job site.
